Google Voice is an online telephony service that integrates with Google Workspace, providing local phone numbers and call management – allowing organisations of any size to stay connected with customers and clients.
Google Voice
The main, stand-out feature that sets Google Voice apart from traditional telephone services is that the telephone line works through Voice over Internet Protocol (VoIP), meaning it works on mobile devices, laptops and supported desk phones, anywhere with a broadband, WiFi or data connection.
There are three plans available:
- Google Voice Starter – For organisations up to 10 users.
- Google Voice Standard – For organisations of any size that need features such as multi-level automated attendants, ring groups, and desk phones.
- Google Voice Premier – For multinational businesses and those who need advanced features such as advanced reporting and automatic call recording.
Google Voice Benefits
Professionalism
A key benefit of Google Voice is an enhanced professional image. Licenses provide each employee with a dedicated business phone number, establishing a professional and trustworthy image. Additionally, features such as auto attendant (see below) further refine the representation of your business.
Answer From Anywhere Flexibility
Google Voice has both web and mobile apps, meaning users can make and receive calls from any device with an Internet connection – great if you’re on the go, in the car, or working remotely.
Google Workspace Integration
Google Voice is integrated with Google Workspace, meaning your team members can manage calls, voicemails, and texts from the same interface they use for Gmail. This friendly and familiar interface means that your team can migrate to Google Voice with ease, reducing downtime for calls and communication. In the UK, Google Voice is an add-on service for Google Workspace subscriptions; it is not currently included as default, allowing you to pay only for the users who need it.
Call Routing
The call routing feature allows users to direct callers to the correct person or department with a tap of a button. You can also set up forwarding rules based on user availability and time of day – integrated with Google Calendar – to ensure that users never miss a call.
“It was easy to register and set up the account, and the Voice portal is relatively straightforward to navigate. You have the option to choose how you receive notifications and manage call settings for each individual phone number and the main number.” – MBR Dental
Automated Attendant
The automated attendant feature allows you to set up options to automatically direct callers to the correct department, such as “Press 1 for Sales, Press 2 for Rentals”, which helps to minimise the time needed for manual call routing , and ensures that the correct team is contacted.
At Ballyhoo, we use the auto attendant feature on our own phone line to provide a welcome message that plays to callers, communicating key information such as bank holiday or Christmas closures.
Ring Groups
Another feature that we use here at Ballyhoo; ring groups allow calls to a single business phone number to ring multiple users sequentially. This means that incoming calls ring each phone line one after another in a set order, which can easily be modified if a user is away from the office. If the main line doesn’t pick up the call, we have peace of mind that the call will get picked up by the next available team member.
Spam Filtering
New Google AI features can now filter out spam calls, allowing users to focus only on legitimate calls. These filters automatically block spam calls and transcribe voicemails to text, allowing users to quickly identify whether a call should be responded to.
Voicemail Transcription
Google Voice automatically transcribes voicemails to text, sending updates via Gmail to allow users to quickly scan messages and take action. This is ideal for organising missed calls and responding to calls that are relevant.
“Voicemail settings are very interactive, and any received voicemails can be received and transcribed by email.” – MBR Dental
Headsets & Handsets
For hands-free use, there are a wide variety of headsets available that integrate with Google Voice seamlessly, ideal for customer service and support teams. If preferred, you can also purchase desktop handsets – these are available from Poly®, whose desk phones simply plug into devices or connect via ethernet, offering quick set-up and the features you’d expect from traditional telephony systems, like call waiting and forwarding.
Call Tracking
Google Voice provides comprehensive call logs, including timestamps, call duration, and caller ID information, ideal for tracking communication and ensuring accountability.
“All calls to individual numbers are logged in a call history which can be accessed via the portal.” – MBR Dental
Management
It’s easy for administrators to effectively manage user accounts, in addition to assigning numbers and accessing detailed usage reports, all from one admin console.
Cost Savings
Although Google Voice is an add-on product in Google Workspace, it saves your business money as there is no need for expensive hardware or the maintenance that is often associated with traditional telephone alternatives. Additionally, Google Voice offers various plans, making it a scalable option for your business as your team grows.
Transparent Billing
Local calls are included as standard as part of your monthly license cost, with international and premium rate calls listed as extra charges.
Case Study – MBR Dental
Following an office move, we supported our client, MBR Dental, with transitioning to Google Voice. Setting them up with a robust and reliable phone system was crucial for their operations as a recruitment agency in the dental industry, as the nature of their business demands a dependable communication structure to manage calls from both clients seeking dental professionals and candidates looking for placements.
We managed the entire setup process, ensuring a seamless migration, configuring user profiles tailored to MBR Dental’s specific operational needs – setting up a primary number and four individual extensions/user accounts. They have also purchased Google Voice compatible phones for the office to allow them to take calls easily; however, making and taking calls through the browser with a headset is still an option when they need to be hands-free.
Here’s what MBR Dental said about their first few months using Google Voice:
“We switched to Google Voice a couple of months ago as an alternative to a traditional office landline and to support hybrid working. We have one primary number with four individual extensions linked to it, and we’ve purchased Google Voice-compatible phones for the office. Overall, Google Voice has proven to be a flexible asset for the business, with a few limitations due to internet connectivity.” – Louise Ferry, MBR Dental

Google Voice Requirements
In order to use Google Voice, you must have a Google Workspace account on either Business Starter, Standard or Plus plan.
Additionally, a fast and reliable internet connection is required for Google Voice to work effectively. Without sufficient bandwidth, you may find that call audio becomes choppy or drops out entirely; a stable connection is essential to minimise delays and inconsistency. Contact us for guidance on internet speed tests and whether your set-up would be suitable for Google Voice.
